The invoices show up in ReadSoft without doing much more than emailing them. As mentioned at the beginning of the manual, ReadSoft automatically recognizes certain parts of an invoice. The clerks working in ReadSoft only check whether ReadSoft has correctly recognized all parts of the invoice. If not, they can enter the required information manually. In the best case scenario, they click on the information they need on the invoice. ReadSoft then enters the relevant information in the currently selected field. ReadSoft learns where to find the relevant parts of the invoice by doing so. After two or three invoices ReadSoft should recognize everything automatically.
It is important to note that in ReadSoft it is possible to decide whether it is a logistics invoice, cost invoice or credit note. It is also possible to change the invoice later to a different type, but in the best case the correct type is selected in ReadSoft so that no change is necessary later. There is also a field in ReadSoft called “Reference”. If the invoice is a logistics invoice, the department responsible for the invoice is specified in this field (e.g. tea, coffee, cocoa, etc.). If the invoice is a cost invoice, the use of this field is completely optional. It can be used to identify the clerks responsible for the invoice, but does not have to be used that way. It can also be filled with other useful information or left completely blank.
