Spam Mail handling
With digitization, we are increasingly becoming the target of cyber-attacks. Hundreds of fake spam
e-mails are sent to employees of the Vollers Group every day. Behind this are hiding cyber criminals who want to install malware on your computer or use fraud attempts to obtain your data
(contacts, bank data, passwords, etc.).
Also known as "phishing" or "social engineering"
Only one mistaken click on an unknown attachment or URL and all our servers and computers can be spied out and hacked by the malware in a few minutes.
- Spam e-mails are a serious threat to the entire Vollers group!
Here are some of the characteristics in which you can identify dangerous spam email:
- The form of address is usually impersonal, without mentioning your name: "Dear Customer" "Dear Sir/Madam" (this does not always have to be the case!)
- The text of the mail suggests an urgent need for action, such as "If you do not update your data immediately...".
- Threats are used: "If you do not act immediately, your bills can no longer be paid ...".
- Indications of changes to user accounts or changes to the billing and payment system or similar should always set your alarm bells ringing!

The general rule:
- Every e-mail could be fake, even from known senders!
- Microsoft (Office365, Outlook, ...), our IT department or any other entity in the Vollers group would never send you an email asking for confidential data
(e.g. passwords or credit card numbers)
- Especially with e-mails from external senders, you should be very careful.

Please behave as follows for e-mails with at least one of the characteristics mentioned above:

Stay calm, no matter what the content of the e-mail is or what negative consequences are to be feared, just by receiving the e-mail nothing happens for the time being.
- Do not open Attachments or URLs!

Do not, under any circumstances, disclose confidential data such as passwords, usernames, PINs, or other sensitive information.

Inform your superior or the IT department
if you have received the suspicious email from known senders
(e.g. customer addresses or companies such as Amazon, DHL, Microsoft, etc. ).

If in doubt, contact the IT department and forward the email to it-servicedesk@vollers.com to verify the above features if necessary.

Delete spam or virus e-mails from your mailbox
If you have nevertheless opened such a link or attachment out of carelessness, immediately disconnect your computer from the network (remove the LAN cable, disconnect from the WiFi)
and inform the IT department immediately!!
